What is a Steubenville High School Summer Conference?

Franciscan University of Steubenville, Ohio seeks to provide an opportunity for teens to come to know the saving love of Christ by providing a powerful experience of the Catholic Church and its sacramental life.

This conference is specialized to address the resources and needs of today's Catholic youth, organized on a national and regional level. With an exciting line up of speakers, musicians, and presenters, the High School Youth Conference will challenge Catholic youth to stand firm in their faith, rely on the awesome power of Jesus Christ who is their guide, friend, and Savior, and show that faith to the world.

The Sacraments are the highlight of the conference. Teens will join in a dynamic Eucharistic Liturgy during the weekend and will be given the opportunity to participate in the Sacrament of Reconciliation. There is also a powerful time of Eucharistic Exposition and Adoration. Many teens encounter the Holy Spirit for the first time. This leads to a tremendous conversion for many young people.

Why should a young person attend a Steubenville youth conference?

The whole vision for the conference is to lead teens to Christ and to give them a deeper understanding and love for their Catholic Faith.

I’m concerned about the safety of my teen?

In the interest of protecting our young people from abuse or threat of danger, Catholic Servant Ministries, Inc., in conjunction with the Franciscan University of Steubenville, are requiring ALL group leader AND ALL chaperones to observe their diocesan child protection policies. We desire this to be a place where parents feel free and safe in sending their teens. To this end, the University is requiring ALL conference sites to have the adult chaperones and group leaders document that they have fulfilled this requirement. This will be accomplished with the following form:

•Adult Chaperones Verification Form- Charter for the Protection of Children and Young People signed by the (Arch)Bishop

How much does the conference cost?

Total cost per person (each Group Leader, Adult Chaperone, and Youth) registered is $185.00 (plus hotel lodging). The fee includes Friday night dinner, Saturday lunch and dinner and all conference programming. (Saturday and Sunday continental breakfasts are included with your room rate at The Rosen Shingle Creek. If you are not staying at the conference hotel you are responsible for your own breakfast)

We offer free registration for all priests (All priests register separately from the group registration).

Reserve spots online using the group registration link. Registrations are accepted on a first come first serve basis. A $85.00 non-refundable deposit per spot is required. The deposit is due within 14 days of reserving your spaces. There will be no onsite registration.

What are the criteria for The group leader, adult
chaperone and youth?

Group Leader: the adult responsible for organizing your trip and serving as the main contact for your group. Written and oral correspondence takes place between the Group Leader and the conference office. The Group Leader must be attending the conference and will be responsible for the entire group.

Adult Chaperone: the adult chaperone must be 21 years of age and inline with diocesan policy. Young adults (18-20) cannot serve as chaperones.

*This weekend is challenging physically and spiritually. It is a time of deep ministry and small group time. We recommend chaperones feel comfortable directing, sharing, and praying with youth.*

Youth: the participants in the conference must be entering 9th, 10th 11th, or 12th grades in the fall of 2019 or a 2019 high school graduate. If a Youth does not meet these age requirements and is not old enough to attend as an Adult Chaperone (21 years of age), we recommend that he/she consider joining Mercy Crew.

All participants (Group Leader, Adult Chaperones, and Youth) must be registered under the same Group Leader.

How many adults need to come?

In order to effectively minister to your teens and for the safety of the youth and for the good of all involved in the conference, there must be at least one but no more than two adults (Group Leader or Adult Chaperone) per ten youth/gender. Ex. For every 10 female youth at minimum 1 female chaperone. For every 10 male youth at minimum 1 male chaperone. Groups are unable to share chaperones with other groups in order to meet the minimum requirement of 1 adult (Group Leader or Adult Chaperone) per ten youth, per gender.

Should a priest accompany my group?

Priests are very important to Steubenville Florida and a wonderful witness to our faith and the call for vocations. Therefore, we are requesting that every group make every effort possible to bring at least one priest. We are in great need for priests to celebrate the Sacrament of Reconciliation. So, we are offering FREE registration for any priest who attends the conference with their group, with the understanding that they assist with confession at the scheduled time. Priests are invited to concelebrate Mass Saturday morning and evening. Please bring your stole.

Can group leaders and adult chaperones bring infants and children?

Although we strongly support Catholic family life, our staffing, facility constraints, and insurance regulations do not allow us to provide childcare. In addition, the focus of the Group Leader/Adult Chaperones needs to be on the Youth participants. If these adults bring their own children, their focus will be split. However, if you have other family members who are not participants they are more than welcome to stay at the hotel and enjoy the amenities and local theme parks assumming they are properly supervised.

What if my teen has a disability?

Please contact the conference office in advance if you have anyone in your group with a medical necessity or handicap that requires special needs. For example, we can arrange to have an interpreter for someone who is hearing impaired during parts of the conference. The Rosen Shingle Creek is a full access building and we will do our best to accommodate any special needs.

Is there a parking fee at the hotel?

Yes, self-parking is $9.00 per day plus tax.

When do we arrive?

Plan to arrive at the Conference Registration check-in table between 1:30 PM and 6:30 PM on Friday, July 19th, 2019 at the Rosen Shingle Creek. The Group Leader and one chaperone of the opposite sex will check-in. In order to prevent confusion, the rest of the group MUST wait away from the check-in area.

Will there be a Bookstore?

There will be a Marketplace filled with a variety of Christian items such as t-shirts, jewelry, music, and books. We will have a limited amount of conference t-shirts available for those groups whom did not pre-order! Be sure to plan ahead and bring a little extra money. The Marketplace will be open at various times during the weekend so check the schedule in your App.

GROUP LEADER REGISTRATION FREQUENTLY ASKED QUESTIONS

HOW DO I KNOW WHICH CHAPERONES AND YOUTH HAVE COMPLETED THE ONLINE REGISTRATION?

Log into the portal using your username and password, which will be provided in your confirmation email. From here you can see which chaperones and youth have completed the online registration.

HOW DO I REMOVE A PARTICIPANT IF THEY CAN NO LONGER ATTEND?

Log onto the portal using your username and password, which will be provided in your confirmation email . From here you can delete any participants. The spot will then free up for another participant to enter his or her information.

HOW DO I ADD MORE SPOTS?

At anytime before we sell out you can add more spots to your group. Simply email info@steubenvilleflorida.com to request more spots. We will then manually add more spots to your group. You can then send your additional participants the link that was provided in your confirmation email to enter this information.

CAN I DROP SPOTS IF I DON’T HAVE ENOUGH PARTICIPANTS?

You can drop spots at anytime by emailing info@steubenvilleflorida.com. Please keep in mind the drop dates and penalties:

  • 1st Drop Date - March 19th: If you drop the number of participants before or on this date there is no penalty. All non-refundable deposits paid for the participants dropped will be transferred and applied to the final bill. After this date the group is responsible for the non-refundable/non-transferable deposit of $85 per participant dropped.
  • 2nd Drop Date - March 20th - June 29th: All participants dropped between these dates are responsible for the non-refundable/non-transferable deposit of $85 per participant dropped.
  • June 30th - All participants dropped on or after June 2nd owe the full payment of $185 per participant dropped.
WHAT IF I WANT TO PRINT OUT THE LIABILITY FORMS?

We do not require you to print out the liability forms as they are are online for us to access. However, if you would like to print out the forms for your reference you may do so. Simply log into the portal using your username and password. From here you can print all the liability forms by clicking the participants hyperlinked name.

HOW DO I MAKE MY HOTEL RESERVATIONS AT THE Rosen Shingle Creek?

Once you have registered online you will receive a confirmation email. In this email are the instructions for making your hotel room reservations. Payment for hotel rooms and parking are through the Rosen Shingle Creek and not the Steubenville Florida Conference Office. Room assignments are made by the group leader.

$85 pp deposit for all registrations is Non-Refundable. Provided there are spots available in the conference, we will process the deposit and email a confirmation letter to the Group Leader.

There are 2 Drop Dates:

1st Drop Date - March 19th: If you drop the number of participants before or on this date there is no penalty. All non-refundable deposits paid for the participants dropped will be transferred and applied to the final bill. After this date the group is responsible for the non-refundable/non-transferable depoist of $85 per participant dropped.

2nd Drop Date - March 20th - June 29th. All participants dropped between these dates are responsible for the non-refundable/non-transferable deposit of $85 per participant dropped.

July 2nd - All participants dropped on or after June 2nd owe the full payment of $185 per participant dropped.

No Registration will be taken without DEPOSIT. Deposit due within 14 days of reserving your spaces.

Payment from your group must be paid by ONE check (drawn on a United States bank) Make ONE check payable to: Steubenville Florida. Please note the group name on the check.

Due to demand and the need for advance planning, we require a definite commitment from our participants. For this reason, all payments are non-refundable. If our office does not receive written notification from you of the dropping of spots or entire registration, your group will be responsible for paying the entire balance due.

Bad Checks If your check fails to clear the bank and is returned for insufficient funds, the group leader will be notified that the status of the group's registration has been changed to "insufficient funds" category. Your registration will not be processed until the conference office receives a money order or cashier's check for the entire amount. There is a $25 handling charge for each NSF check.

All balances are due July 13, 2018.

Failure to pay your entire balance due will result in a forfeiture of your registration, so we can accommodate any group on our waiting list wishing to attend. These policies are in place so that we may be as fair as possible to all groups and prepare adequately for the participants attend the conference.

The following paper forms are due July 13, 2018 to the Steubenville Florida Conference Office.

  • Original Adult Chaperones Verification Form-Charter for the Protection of Children and Young People signed by the (Arch)Bishop.

  • If you are a group from the outside of the Diocese of Orlando and bringing a priest with you the Original Certificate of Aptitude for Priestly Ministry needs to be submitted to the Orlando Pastoral Center (Orlando Diocesan Office).

The following online requirements need to be completed by July 25, 2018 at noon

  • All participants (one per participant - group leader, chaperones and youth) need to complete the online liability release registration through the link that is provided to the group leader at the time of the initial registration.

We will email you a registration confirmation once we have processed your registration and payment.

All deadlines are FINAL.

All groups must identify one person as the Group Leader for the conference. All correspondence, phone calls, email, etc., will be handled through them. Conference materials at registration check-in will be issued to that person.

A group is defined as one adult leader, one chaperone and a minimum of four youth participants. No single registrations will be accepted.

Group Leader: the one person organizing the trip and serving as a contact person for the group. The Group Leader must be an adult who is prepared to attend the conference. All correspondence will take place between the Group Leader and the conference office.

Adult Chaperone: adults (21 years of age and older) must be with the youth throughout the conference, it is necessary that there are at least one male adult chaperone for every 10 young men and one female adult chaperone for every 10 young women. We realize that there are situations where it may be challenging to find another chaperone; however, the conference staff has found that dual chaperones are imperative, especially in times of ministry and for supervisory reasons. Please remember that the primary purpose of the conference is to provide Catholic Youth an opportunity to experience the power of Christ through presenters, workshops, and entertainment. With this in mind, we expect Group Leaders to adhere to the maximum adult to youth ratio. Young adults (18-20) cannot serve as chaperones.

Youth: the participants in the conference must be entering 9th, 10th 11th, or 12th grades in the fall of 2018 or a 2018 high school graduate.

Priests: we are requesting that every group make every effort possible to bring at least one priest. We are in great need for priests to celebrate the Sacrament of Reconciliation. So, we are waiving the registration fee (including meals) for any priest who attends the conference with their group, with the understanding that they assist with confession at the scheduled time. Priests are invited to concelebrate Mass Saturday morning and evening. Bring your alb and stole.

All priests should NOT be included in the total number of spots requested for the conference.

Day of Arrival: Plan to arrive at the Conference Registration check-in table between 2:00 PM and 6:30 PM on July 27, 2018 at the Rosen Shingle Creek. The Group Leader and one chaperone of the opposite sex will check-in. In order to prevent confusion, the rest of the group MUST wait away from the check-in area.

Official credentials must be worn at all times during the conference. Lost credentials must be replaced at $10 each.

How to show love and respect for God:

  1. Pray daily for self and others

How to show love and respect for yourself:

  1. This is a "no smoking" weekend. All state laws governing alcohol, drugs and tobacco will be strictly enforced. Possession or consumption of alcohol and drugs is not permitted at any time during the conference.
  2. Drink plenty of water, and make sure you eat all meals. This will allow you to fully participate and not be tired.
  3. Remember that you are the Temple of the Holy Spirit, present yourself accordingly.
  4. If you must leave an activity, your adult chaperone should accompany you.
  5. Dress modestly – Clothing must cover all undergarments and midriffs. Bikini tops, low cut tops, mini skirts, short shorts, and shirts with vulgar language are not allowed.

How to show love and respect for others:

  1. Be safe. No horseplay or other potentially harmful actions. Leave pocket knives, lighters, or other hazardous materials at home. No skateboards, iPods, laptops or rollerblades.
  2. All words and actions you use should build up others and not injure.
  3. No teenagers are allowed to drive to or from the conference.
  4. The facility must remain clean and undamaged.
  5. No outside visitors at the conference please.
  6. All aisles and the stage area must remain clear for safety reasons. Remain in your youth group's area at all times.
  7. Make sure that your actions during the activities do not distract others from hearing, seeing or praying

Consequence Policy:

  1. All youth are expected to follow the above outlined expectations, direction of security and conference staff. Any instances of transgression of these policies, lack of cooperation or insubordination will be subjected to appropriate discipline and/or fines. Failure to comply may result in immediate dismissal of the participant, at the expense of the individual.

Catholic Servant Ministries, Inc. has very specific guidelines regarding modest dress. We ask that you strictly adhere to these policies. Also, please keep in mind that some rules apply specifically to males while others are directed to females.

  1. Shorts, skirts or dresses that are shorter than five inches above the knee while standing are prohibited.
  2. Skirts that reveal midriff are not permitted, nor are shirts that are too low cut from the neck area.
  3. Shirts, shorts or pants are not allowed to sag to the point of revealing one's undergarments while standing.
  4. During all liturgies and prayers, every male, youth or adult must remove and headwear. This includes all hats visors, headbands, bandanas, ect; this is more out of respect than modesty.
  5. Clothing that may appear to have an anti-Christian message will not be permitted.
  6. Shirts with writings that include crude language, promotion of alcohol or drug use, or suggestive material of a crude, sexual nature are prohibited.
  7. There will be no tolerance for cross dressing.
  8. Any individual wishing to serve as an Extraordinary Minister of Holy Communion for the Liturgical celebration is asked to wear long pants or a skirt.
  9. At such events where music is being played, many people often feel moved to dance. While we encourage, we feel it is necessary to remind you that no moves that appear tasteless and vulgar will be permitted. We invite you to have a great time, but please keep it clean!
